Patchwise privacy notice
Last updated: 25 October 2026
Who we are
Patchwise is run by [LEGAL ENTITY]. We are the controller of the personal information described here. We are registered with the Information Commissioner's Office, registration number [ICO REG NO].
Contact us at hello@patchwise.uk or by post at 26 Envoy House, London, NW9 5ZU.
What Patchwise does
We send a weekly email to limited companies and LLPs listing new business premises and public contracts near them, taken from official UK public data.
Information we hold about trial subscribers
When your company signs up, we collect:
- your company name and Companies House number;
- your first name and the work email address you give us, so we can address our emails to you;
- your trade, the postcodes and distances you choose, and the opportunity types you tick;
- a record of the emails we send you, when you signed up, any messages you send us, and your answers to our feedback forms if you choose to fill them in.
We do not ask for card or bank details during the free trial.
Information we hold about businesses we contact
Before you signed up, we may have emailed your business to offer a free trial. For that we hold your company name, its Companies House number, the business email address we wrote to, and its general location. We took these from Companies House and your company's own website. We only contact limited companies, PLCs and LLPs, never sole traders or partnerships.
If you ask us to stop, we keep only your email address on a do-not-contact list, so that we never email you again.
Why we use it, and our lawful basis
| What we do | Lawful basis under UK GDPR |
|---|---|
| Send your trial emails and manage your settings | Contract: providing the service you asked for |
| Email businesses to offer a free trial | Legitimate interests: telling relevant businesses about a service that may help them win work. You can object at any time |
| Keep a do-not-contact list | Legal obligation and legitimate interests: making sure we respect opt-outs |
| Answer your messages, ask for your feedback during and just after the trial, use it to improve the service, and keep basic records | Legitimate interests: running and improving the business. Feedback is always optional |
We do not sell your information, use it for profiling, or make automated decisions about you that have legal or similar effects.
Who we share it with
We use a small number of service providers who process data only on our instructions:
- Resend to send the weekly emails;
- Render to run the website and database;
- Google Workspace for our business email, and to send introductory emails;
- Stripe to take payments from subscribers who choose to carry on after the trial.
Stripe also uses some payment details for its own purposes, such as preventing fraud. Stripe's privacy policy explains how.
Some of these providers may store data outside the UK. Where they do, they are covered by UK adequacy regulations or the UK International Data Transfer Agreement or Addendum.
How long we keep it
- Trial subscribers who don't continue: deleted 3 months after the trial ends, including any feedback answers. We may keep anonymous totals (for example, how many people found the emails useful), which cannot identify you.
- Paying subscribers: kept while you subscribe and for 6 years afterwards for tax records (billing details only).
- Outreach records for businesses that don't reply: deleted after 6 months.
- Do-not-contact list: kept indefinitely, holding only a scrambled (hashed) copy of the email address.
Backups are overwritten within 30 days, so deleted information disappears from them too.
Information in our weekly emails
Our emails list businesses and public bodies taken from official registers published under the Open Government Licence. We leave out records named after individuals, home-based businesses and managers' names. If you believe your personal information appears in one of our emails, contact us and we will remove it.
Your rights
You can ask us to:
- give you a copy of the information we hold about you;
- correct it;
- delete it;
- restrict how we use it, or move it to another provider;
- stop using it. You can stop marketing emails at any time, and we will always agree.
Email hello@patchwise.uk. We will reply within one month. There is no charge.
Complaints
Please contact us first and we will try to put things right. You can also complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint or on 0303 123 1113.
Changes
If we change this notice, we will update the date at the top and tell subscribers by email if the change matters to them.
